Reservation Deposit and Rental Payments

An advance payment of fifty percent (50%) of the total cost of the vacation rental (inclusive of fees and applicable taxes) is required to confirm all reservations within ten (10) days of making the initial reservation. If this payment is not received, your reservation will be cancelled. The remaining fifty percent (50%) of the rental fee and applicable taxes must be received within thirty (30) days prior to arrival date.

Reservations made less than thirty (30) days prior to arrival date will require the entire amount of the property rental rate, the non-refundable reservation fee, and applicable taxes to be paid in full at the time the reservation is made.

If a reservation is made for the following calendar year a 20% deposit / payment to hold the reservation is required if the rental rates have not been established. If the rental rates are not established, the rates will be based on the current rental rates and are subject to change. You will be notified by January as to the confirmed rental rates and the 30% deposit payment balance will be due no later than January 31.

If applicable an Event Fee will be added to the rental rate (ex. weddings, receptions, special celebrations, etc). Properties have established maximum guest limits for events, which must be adhered to and an addendum furnishing information on tents, caterers, etc., is required with final payment. Damages may be collected for violations of maximum guest limits.

State and local sales tax are subject to change without notice and all rentals are subject to adjustments for the additional taxes after reservation confirmation. Payment is accepted by credit card, check or money order. Royal Beach Rentals will collect a Returned Check Fee of $50.00 for any payment by check that is returned for insufficient funds.

Cancellation of Reservations

Royal Beach Rentals will process cancellations and refund monies received within the first 10 days of the reservation booking date. Reservation cancellation within 10 days of the booking date will be charged a $130.00 processing fee and a $85.00 cancellation fee and the fees will be deducted from the initial deposit/payment. All fees are subject to local and state taxes.

Royal Beach Rentals does not issue refunds for cancellations after 10 days of booking date. Any and all cancellation refunds are paid to renter by CSA Travel Protection. IF YOU CHOOSE NOT TO PURCHASE THIS COVERAGE NO REFUNDS WILL BE GIVEN FOR CANCELLATIONS. Your purchase of CSA Travel Protection is calculated at 6.95% of the rental rate plus reservation fee and taxes. Our reservation system automatically adds this option to every reservation upon booking. PLEASE NOTE THAT THIS INSURANCE WILL BE NON-REFUNDABLE 10 DAYS AFTER YOU HAVE PAID YOUR DEPOSIT.

Travel Protection Insurance G-332CSA

Royal Beach Rentals has partnered with CSA Travel Protection insurance to safeguard your vacation. This is an optional plan but we strongly recommend it. To obtain your travel insurance policy or certificate of insurance, log onto www.csatravelprotection.com/certpolicy.do?product=G-332CSA. The travel protection, if purchased, includes insurance coverage for Trip Cancellation, Trip Interruption, Travel Delay, Baggage Delay, Accidental Death and Dismemberment and Emergency Assistance. Please read your document carefully as certain limitations, restrictions and exclusions apply. The insurance coverage is underwritten by Generali and the non-insurance assistance services are provided by CSA's designated provider. Please contact CSA at 866-999-4018 if you have any questions.

Hurricane Policy

In the event of a hurricane or tropical storm, Royal Beach Rentals will receive evacuation instructions from the National Hurricane Center and our local governing officials. If the “Mandatory Evacuation” order is given, full and /or partial refunds will only be given by CSA Travel Protection.Cancellations, late arrivals or early departures for any reason (including weather) do not warrant any refund of rental payments or deposits from Royal Beach Rentals.

Property Assignments

In rare instances, we have been in a position where a reserved property has become unavailable; therefore we reserve the right to change your reservation to equivalent or better accommodations.

Linen / Housekeeping Service

Your vacation property will be cleaned to quality standards prior to your arrival and after your departure. You will be responsible for cleaning during your stay and for leaving the property in good condition at check-out. Additional housekeeping services are available upon request. We respectfully request your awareness and appreciation of the property owners; please treat the vacation accommodation with the care you would your own. Laundry facilities are provided either in the rental property or on the grounds. The accommodation will be stocked with a starter supply of trash liners, toilet paper, bath soap and dishwasher soap. Extra needed items are the responsibility of the guest. Bed and bath linens are furnished and are not to be removed from the property. Remember to bring your own beach towels. Any damages will be charged to your credit card per the Damage Security Section.

Pets

Pets are not allowed unless you have confirmed your reservation at a pet-friendly property. Pet-friendly properties require a non-refundable pet fee in the amount of not less than $120.00, plus applicable taxes. If evidence of a pet is found inside the property or on the premises, you will be vacated immediately with no refund of rental payments. Additional charges will be assessed for cleaning, disinfecting and professional flea treatment.

Smoking

Smoking is strictly prohibited at all Royal Beach Rentals rental properties. If evidence of smoking is found at the property, charges will be assessed for necessary deodorizing and additional cleaning. These charges will be charged to your credit card per the Damage Security section.

Security Deposit Protection

As a guest staying at a property managed by Royal Beach Rentals, you are a participant in the CSA Security Deposit Protection. The cost of which is included in your processing fee, covers you and your traveling companions for accidental and inadvertent damage to the rental unit as described in the plan Certificate, with up to $3,000 in payable benefits that may cover the cost of repairs. All damage must be reported to Royal Beach Rentals when it occurs. A Security Deposit Protection Claim Form must be completed by you the guest. Failure to promptly report damage to Royal Beach Rentals may void the coverage by CSA. For CSA Security DepositProtection policy questions, contact CSA at 866-999-4018.

Damage Security

Royal Beach Rentals reserves the right to charge the credit card(s) on file: 1) To reimburse expense incurred to repair damage, or replace missing items not covered with the Security Deposit Protection offered by CSA; 2) To pay for extra cleaning, if necessary; or 3) For any other charged incurred for violation of the Rental Policy as a result of your stay. This Security Deposit Protection plan covers unintentional damages to the rental unit interior that occur during your stay, provided they are disclosed to management prior to check-out. The policy will pay a maximum benefit of $3,000.00. Any damages that exceed $3,000.00 will be charged to the credit card on file. If, during your stay at one of our Rental Properties, an Insured Person causes any damage to real or personal property of the unit as a result of inadvertent acts or omissions, the Insurer will reimburse the Insured for the cost of repair or replacement of such property up to a maximum benefit of $3,000.00. Certain terms and conditions apply. Full details of the Security Deposit Protection coverage are contained in the Certificate of Insurance or Insurance Policy. By submitting payment for this plan, you authorize and request CSA Travel Protection and Insurance Services to pay directly Royal Beach 850, LLC d/b/a Royal Beach Rentals any amount payable under the terms and conditions of the Security Deposit Protection.

By signing this agreement, you waive your right to dispute charges that are made on your credit card pursuant to the terms of the Guest Rental Agreement for intentional damage caused by you or a member of your party visiting or staying at the premises or accidental damage unreported to Royal Beach Rentals, which may not be covered under the CSA Unintentional Damage Protection.

Family Oriented Vacation Properties

Royal Beach Rentals will not honor rentals of vacation properties to vacationing students or individuals under the age of twenty-five (25) without a responsible parent for every four (4) persons under the age of twenty-five (25). The parent(s) must occupy the rental property during entire confirmed rental period. Reservations must be made and confirmed by an adult over the age of twenty-five (25). Violators will be evicted and all rental payments will be forfeited. Reservations made under false pretense will be null and void and check-in will not be allowed. This policy includes reservations made by parents who do not check-in and/or who leave overnight during confirmed rental period. Any damage will be charged to your credit card per the Damaged Security section.

Occupancy Guidelines

The maximum number of guests per property is based on the individual properties’ ability to safely and comfortably accommodate our guests. If the maximum occupancy is exceeded, you will be asked to vacate the property forfeiting all rental payments. This information can be found on your confirmation letter.

Property Furnishings, Equipment, and Utilities

All rental properties have fully equipped kitchens, televisions, central heating and air-conditioning. Royal Beach Rentals cannot guarantee these or other appliances. We will do our best to have malfunctions repaired as soon as possible. Locked closets are maintained by homeowners for personal use. Please respect these areas. No compensation will be given for temporary outage of electricity, gas, water, and cable or telephone service. Outages will be reported immediately and every effort will be made to have them restored as soon as possible. The operation and maintenance of these utilities is completely out of the control of Royal Beach Rentals.

Key Policy

Property keys and pool keys and/or passes (when applicable) are provided at check-in and must be returned to the rental office at check-out. A charge of $25.00, plus applicable taxes will be charged to your credit card per Security Deposit section for each key not returned. If you are locked out of your accommodation during normal business hours, please contact our rental office at (850) 534-0841. If it is after business hours, please contact our Emergency After-Hours telephone number (850) 685-9276. A representative from Royal Beach Rentals will meet you at the rental office to provide assistance. A fee of $40.00 plus applicable taxes will be charged for this service.

Swimming Pools

In-ground swimming pools may cause an inherent risk to renters and guests (including children). As the renter, you accept the risk of the pool and specifically agree that no minor children will be in the pool area without continuous adult supervision. Renters and guests (including children) will use the pool only in a safe manner and will undertake no acts, which might risk injury or death in the use of the pool. The renter assumes full control and full responsibility for the use of the in-ground swimming pool during confirmed rental period. It is against the law to disarm pool alarms installed for the safety of your family and guests. These alarms are located at the property entry/exit door leading to the pool area. Seasonal pool heated is available at some rental properties at an additional charge. Pool temperatures will not be adjusted higher than 80-85 at any time. Adjusting and tampering with pool heaters will result in an additional / damage charge to your credit card per Damage Security Section.

Elevators and Golf Carts

Owner agrees to allow adult renters over the age of 18 years of age with a valid driver's license to use owner's golf cart during the rental period. Renters agree to hold Owners harmless and defend Owners from any and all claims for any injuries to renters, renters children and/ or any of renters guests caused by such use regardless of liability for utilization of the golf cart and /or elevator. Further, renters agree to pay the cost of such defense including attorney's fees and reasonable costs associated with any such litigation.

Beach Safety

Please be aware and follow the Beach Flag Warning System for swimmers and surfers at all times. They are positioned at all public beach accesses with the description posted at the entrance of the access. Please also refer to the Beach Flag Warning System magnet that is located on the refrigerator within the rental property. It is vital to the safety of you and your family that you understand and adhere to the warning system. The absence of flags does not assure safe waters. South Walton County does not permit beach chairs, tents, umbrellas, etc. to be left on the beach overnight. Any items left on the Beaches of South Walton are subject to removal.

Agency Disclosure

Property owners and Royal Beach Rentals will not be held responsible for acts of theft, vandalism, or other damages to guests'personal property or items left at the vacation property. If an item has been accidentally left at the property, please contact Royal Beach Rentals as soon as possible and every effort will be made to mail it to your home. Shipping costs are the responsibility of the renter.

Representatives of Royal Beach Rentals and/or owners may enter the premises at any reasonable time to make repairs or for inspection of property. Properties may not be sublet.

Check Out Procedures

In order to avoid additional charges to your credit card, we ask that the following be done prior to your departure:

  • All debris, garbage and discards are disposed of properly in designated containers located outside the rental property.
  • Soiled dishes are placed in the dishwasher and cleaned.
  • Property is left in neat condition upon departure, furniture is not re-arranged and items are not missing.
  • All windows and doors are locked upon departure.
  • Keys and amenities cards are returned to rental office upon check out.

Check In / Check Out

  • Check in begins at 4:00 PM Central Standard Time.
  • Check out is at 10:00 AM Central Standard Time.

After Hours Instructions

An After Hours Key Box is located outside the main office door. In the event of a late arrival, your key packet including directions to your vacation property will be in the after hours key box. A member of our staff will contact you prior to arrival with after hour key box information.

Guest Acknowledgement

I, the undersigned Guest (renter), acknowledge that I have read the Guest Rental Agreement in its entirety. I understand the terms thereof and agree to be bound by the provisions herein. I also acknowledge and agree that the owner and his/her agents, including Royal Beach 850, LLC. d/b/a Royal Beach Rentals, shall not be liable for any loss, damage, injury, accident or delay which may be suffered by renter, renter’s family, children, guests, invitees or licensees by reason of: (1) Renter’s failure to fulfill any condition of this agreement; (2) Renter’s failure to comply with any requirements imposed by any governmental authority; (3) Any judgment, lien or other encumbrance filed against the rented property as a result of renter’s actions; or (4) The negligent acts or omissions of the owner or any of his/her agents; and the undersigned specifically release(s) the owner and his/her agents there from.
